Brief Description ECS Fin is an engineering enterprise that specializes in process optimization. We design software solutions with a systems approach to transaction processing. We are seeking a highly motivated and organized Front Office Executive to join our team and serve as the face of our company. Job Summary: We are looking for a professional, efficient, and organized person to manage day-to-day operations at our office in NILA, Technopark, Trivandrum. This position requires good communication and administrative skills, knowledge of social media, and experience in event management. Responsibilities: Front Office Management: · Greet and assist visitors, clients, and employees in a friendly and professional manner. · Manage incoming calls, emails, and correspondence. · Maintain a tidy and welcoming front office environment. · Handle visitor registration, arrange for issue visitor passes, and inform relevant employees about guest arrivals. Administrative Duties: · Coordinate meeting room bookings and ensure their proper setup for meetings and conferences. · Provide administrative support for various teams as needed, including taking printouts, photocopies and organizing candidate interviews. · Monitor and maintain stock levels for office supplies and stationery, ensuring timely replenishment. · Assist in making travel and accommodation arrangements for employees and visitors. · Address inquiries through phone and coordinate with Technopark officials for administrative functions such as issue of entry pass, company events, external meetings, and participation in Technopark-hosted activities. Social Media Management: · Develop and maintain the company’s social media presence, including creating content, managing postings, and engaging with followers. Event Management: · Plan, organize, and execute company events, including annual day, conferences, workshops, and networking sessions. · Collaborate with cross-functional teams to ensure successful event logistics, from venue selection to post-event follow-up. General Support: · Assist HR Manager in day-to-day operations and recruitment support. · Support with onboarding new hires, providing them with basic office information, and assisting with initial paperwork.
