We are looking for a highly organized and efficient Office Manager to oversee all administrative operations in our company. The Office Manager will play a critical role in ensuring smooth day-to-day office activities, supporting the management team, and maintaining a productive work environment.

Reports to: Director / Senior Management

Key Responsibilities:

  1. Administrative Oversight:
  • Manage daily office operations, ensuring the office runs efficiently and all administrative tasks are completed on time.
  • Coordinate with vendors and service providers for office supplies, maintenance, and other essential services.
  • Oversee reception duties, mail handling, and office cleanliness.
  1. Human Resource Support:
  • Assist with recruitment activities, including organizing interviews, managing employee records, and onboarding new hires.
  • Maintain staff attendance records, leave management, and employee engagement activities.
  1. Financial Administration:
  • Handle office budget, expenses, and petty cash management.
  • Liaise with the accounts department for payment approvals, invoicing, and payroll coordination.
  1. Documentation and Reporting:
  • Maintain and update office records, files, and databases (both physical and digital).
  • Prepare and manage company documentation, letters, reports, and presentations.
  1. Facilities Management:
  • Oversee office equipment, IT infrastructure, and facility management, ensuring they are well-maintained and fully operational.
  • Ensure compliance with health and safety regulations within the office.
  1. Team Coordination and Support:
  • Act as the point of contact between the management and staff for administrative-related queries.
  • Coordinate meetings, travel arrangements, and event planning for both internal and external company activities.
  1. Process Improvement:
  • Identify and implement improvements to office processes and systems to enhance efficiency.
  • Develop office policies and procedures to ensure proper business operations.

Experience Required: 5+ years in office management or administrative roles

Key Skills and Qualifications:

  • Bachelor’s degree in any discipline, though a Commerce graduate would be preferred.
  • Proven experience as an Office Manager, Administrative Manager, or similar role in the software or IT industry.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint) and familiarity with office management software tools.
  • Knowledge of basic accounting and HR practices is a plus.
