We are looking for a highly organized and efficient Office Manager to oversee all administrative operations in our company. The Office Manager will play a critical role in ensuring smooth day-to-day office activities, supporting the management team, and maintaining a productive work environment.
Reports to: Director / Senior Management
Key Responsibilities:
- Administrative Oversight:
- Manage daily office operations, ensuring the office runs efficiently and all administrative tasks are completed on time.
- Coordinate with vendors and service providers for office supplies, maintenance, and other essential services.
- Oversee reception duties, mail handling, and office cleanliness.
- Human Resource Support:
- Assist with recruitment activities, including organizing interviews, managing employee records, and onboarding new hires.
- Maintain staff attendance records, leave management, and employee engagement activities.
- Financial Administration:
- Handle office budget, expenses, and petty cash management.
- Liaise with the accounts department for payment approvals, invoicing, and payroll coordination.
- Documentation and Reporting:
- Maintain and update office records, files, and databases (both physical and digital).
- Prepare and manage company documentation, letters, reports, and presentations.
- Facilities Management:
- Oversee office equipment, IT infrastructure, and facility management, ensuring they are well-maintained and fully operational.
- Ensure compliance with health and safety regulations within the office.
- Team Coordination and Support:
- Act as the point of contact between the management and staff for administrative-related queries.
- Coordinate meetings, travel arrangements, and event planning for both internal and external company activities.
- Process Improvement:
- Identify and implement improvements to office processes and systems to enhance efficiency.
- Develop office policies and procedures to ensure proper business operations.
Experience Required: 5+ years in office management or administrative roles
Key Skills and Qualifications:
- Bachelor’s degree in any discipline, though a Commerce graduate would be preferred.
- Proven experience as an Office Manager, Administrative Manager, or similar role in the software or IT industry.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficient in MS Office Suite (Word, Excel, PowerPoint) and familiarity with office management software tools.
- Knowledge of basic accounting and HR practices is a plus.
